We sit in a lot of boardrooms where the screen is large and the meeting still starts with 'can everybody hear me'. Teams and Zoom are not the fault. The room is.
Speech first. A microphone in the ceiling that also hears the air-conditioning will make the far end miserable. A soundbar under the screen is sometimes enough for a small room and useless for a long table. We pick after we see the table, not from a bundle.
The camera should see faces, not knees or a light. Laptops with the lid at a random angle are a sign the room camera was never trusted. Put a camera at eye height and leave it there.
One way to start. If every room in the office joins a call differently, staff will keep using the laptop on the table and the expensive system will gather dust. The same button, the same cable, a test call before we leave.
Network matters and is often someone else's box. If the boardroom Wi-Fi is the guest network, or the switch in the room reboots when the power dips, the 'AV problem' is a network problem. We will say so. In this building we can ask the IT side to look at it rather than selling you another microphone.
Sandton and Pretoria offices can book a room visit. Tell us how many rooms and whether the painful one is a huddle space or the main boardroom. Those are different jobs.
A room that starts the call the same way every time is the boardroom AV job.
